Event Organiser Agreement

To host events or access participant information, you must read and expressly accept this agreement from your TrainerCircuit account settings.

1. Purpose and permitted use

Use registration details, submitted lists and downloaded files only to administer the relevant event or comply with a genuine legal or official tournament obligation. Do not use them for marketing, unrelated profiling, public posting, onward sale or unapproved sharing. You must follow applicable data-protection law and competition requirements.

2. Responsibility for downloaded copies

Once you download or transfer participant information to your computer, cloud account, email, tournament software or other equipment, you are responsible for protecting and managing those copies to the extent they are under your control. You must restrict access to authorised people, use appropriate device security, and take care when transmitting files to other systems or tournament officials.

If you independently determine how or why those downloaded copies are used, you may have direct responsibilities as a data controller. The exact legal role of each party depends on the actual processing, not solely this agreement.

3. Deleting downloaded information

Delete copies as soon as they are no longer needed. As a normal TrainerCircuit standard, delete them within seven days after the scheduled event, unless an identifiable legal obligation or applicable official tournament requirement genuinely requires longer retention. Where longer retention applies, document why, keep copies secure and delete them promptly once that obligation ends.

TrainerCircuit's automatic deletion does not delete files saved to your device, messaging apps, mailboxes, other cloud storage or tournament software. You must manage those copies separately.

4. Security incidents and participant requests

If a downloaded file is lost, sent to the wrong person or accessed without permission, take immediate steps to contain the incident and notify the TrainerCircuit operator without undue delay, as well as making any notifications that apply to you by law. Cooperate with reasonable investigations or participant requests concerning copies you control. Do not assume that reporting an incident to TrainerCircuit discharges your own legal obligations.

5. Confirmation and access

By accepting in Profile you confirm you understand these responsibilities. Download controls may separately remind you of them. Acceptance is recorded with an agreement version and timestamp. TrainerCircuit may require renewed acceptance if the agreement materially changes.

6. Separate legal obligations

These terms allocate practical and contractual responsibilities for data handled by organisers. They do not override any rights of participants, remove statutory duties, exclude liability that cannot lawfully be excluded, or automatically establish a particular controller–processor relationship. TrainerCircuit remains responsible for the information processing it controls. Event organisers remain responsible for their own acts and omissions to the extent provided by law. Parties may need a separate controller–processor agreement or data-sharing arrangement depending on their actual relationship.
